InvoiceSherpa vs Xero: built-in reminders or a second tool

Last reviewed October 31, 2026

Quick answerXero emails up to five reminders within the accounting plan, enough for email-only chasing; InvoiceSherpa adds texts on a second bill sized by open invoices, with a branded portal, autopay and late fees on all plans.

InvoiceSherpa vs Xero: what each sends and costs

Xero already emails up to five reminders inside its plans, so InvoiceSherpa is a second tool for text reminders, schedules by customer group and a branded pay portal. Xero's US plans renew monthly: Early $27 a month (20 invoices), Growing $59 and Established $97.

InvoiceSherpa's entry plan, Sole Proprietor, is $49 a month on the Monthly view for up to 100 open invoices, plus a 1% transaction fee on all invoices paid. Both sets of prices are as read on October 31, 2026.

What Xero's own reminders do

Xero's help center says automatic reminders email a customer when an invoice is due or overdue, up to five in all. Three defaults come set for overdue invoices, and all you have to do is turn reminders on. Others go before the due date ("due in") or after it ("overdue by"), with 0 days for the due date itself.

Reminders go only for invoices marked as sent, need a customer email address in Xero, and stop once a payment is matched. Switch Xero's reminders on first; Xero automatic invoice reminders has the steps.

Text messages and consent: Xero invoice texts and InvoiceSherpa SMS reminders

Xero's own reminders go out as email. Separately, Xero can text a customer a link to an approved invoice once the customer has consented. That text needs a connected payment service, and its invoice link expires after seven days.

The FCC's consumer guide says its rules ban texts sent to a mobile phone with an autodialer unless the owner previously gave consent. InvoiceSherpa includes SMS payment reminders on all three plans and its pages describe no consent step, so settle consent with your customers before switching texts on.

What InvoiceSherpa adds for a Xero organization

A Xero firm with about 300 open invoices and a few slow payers lands in InvoiceSherpa's Small Business plan, $99 a month on the Monthly view, plus the 1% fee. The slow payers can sit in a customer group with a firmer schedule, autopay once they enroll a stored card or bank account, and a late fee that starts a set number of days past due.

Xero users mark recurring invoices in the invoice's reference field. Customers pay from a branded portal; ask what yours see there, because the portal view of open payment plans is exclusive to QuickBooks Online customers.

Xero plan limits that change the sum

Xero's Early plan caps invoices at 20, a limit that applies to both approving and sending invoices, so a firm sending more needs Growing at $59 a month or Established at $97 a month. Xero's pricing page also notes that payment fees apply to online invoice payments. InvoiceSherpa counts drafts toward its plan band.

Who should stay with Xero's reminders, and who should add InvoiceSherpa

Stay with Xero's own reminders if email nudges are all you need. Add InvoiceSherpa if you invoice from Xero, send recurring invoices, and want text reminders, schedules by customer group, a branded portal, autopay and late fees, with an open-invoice count that fits a plan band. A 14-day trial with no card lets you connect a Xero organization first; a plan and card details are needed when it ends.

Pick Paidnice, $69 a month billed monthly, for a Xero firm that wants a bill tied to new invoices a month; InvoiceSherpa vs Paidnice compares the two, and best invoice reminder software for Xero covers the wider field.
