Can QuickBooks send text reminders to customers? Its reminders and the options

Last reviewed October 31, 2026

Quick answerQuickBooks Online's reminders go by email; it can text the invoice itself to a QuickBooks Payments customer who opted in. InvoiceSherpa and Paidnice add scheduled text reminders, with consent as the FCC words it.

Can QuickBooks send text reminders: what QuickBooks Online documents

QuickBooks Online's reminders go by email, and the text it documents is the invoice itself, sent to a customer who has QuickBooks Payments and has opted in to text notifications. Its reminder article describes email reminders scheduled up to 90 days before or after the due date and does not mention text reminders; can QuickBooks automatically send invoice reminders covers them. To text the invoice, go to All apps, then Sales & Get Paid, then Invoices, select Send from that invoice's dropdown menu and choose Text (article updated August 3, 2026).

Tools that add text reminders to QuickBooks Online

If customers pay after email, QuickBooks' own reminders and a texted invoice are enough. For texts on a schedule, a reminder tool connected to QuickBooks is the route. InvoiceSherpa's SMS payment reminders are listed on all three of its plans and work with QuickBooks Online; you pick email or text for each reminder. Paidnice charges US$0.10 for each text sent, as read on October 31, 2026.

Chaser's 10-day free trial leaves out SMS chases. InvoiceSherpa vs Paidnice compares the two on cost, and best invoice reminder software for QuickBooks lists more. InvoiceSherpa's 14-day free trial, behind the Try InvoiceSherpa button, is a full version with no credit card; a plan and card details are needed at the end.

Consent and opt-out, as the FCC words them

The FCC's consumer guide says texts sent to a mobile phone by an autodialer are banned unless the phone's owner gave consent first, and that a person may opt out of any robotext at any time and in any reasonable manner.

The guide separates commercial texts, which need written consent, from informational texts, where consent may be oral, and does not say which an invoice reminder is, so this page classifies none.

Intuit, Xero and InvoiceSherpa each put the consent on the sender. Intuit's terms say not to assume an existing customer relationship is permission to text. Xero has you tick a box confirming permission. InvoiceSherpa's terms have the business confirm that its customers agreed to receive invoices electronically. Chaser texts the primary contact's mobile number, recipients opt out by replying STOP, and other replies are not supported.

Writing a payment reminder text

A reminder text carries the same items as an email in fewer words: invoice number, amount, due date and pay link. Chaser limits SMS templates to 320 characters. Example: Reminder: invoice 1042 was due on November 14 and is still open. Pay by card or ACH at this link.

Xero's invoice texts, for comparison

Xero's reminders are email, but Xero can text a customer a link to an approved invoice that is awaiting payment. It is free on paid plans and needs a connected payment service. Xero allows one text per invoice at a time, with a limit of 30 messages in 24 hours, and the link to the online invoice expires after seven days. Texts cannot go outside your country, and replying to the text does not work.
