InvoiceSherpa counts invoices open at one time, drafts included, and Paidnice counts invoices raised in a month, so read each column on its own meter. InvoiceSherpa's figures are plan fees; add 1% of all invoices paid. Paidnice Essentials allows 2 team members, and its texts cost $0.10 each, so 100 texts add $10. The Try InvoiceSherpa button opens the pricing page with the three bands and a 14-day free trial that asks for no credit card.

Cost per open invoice: where the InvoiceSherpa bands step up

An open invoice is any unpaid invoice synced from your accounting software in open or draft status, and the plan follows the count. This is our arithmetic, plan fee divided by open invoices, on the Monthly view:

  • 100 open invoices: $49, or 49 cents each.
  • 101 open invoices: $99, or 98 cents each, because the whole plan steps up.
  • 500 open invoices: $99, or 20 cents each.
  • 501 open invoices: $199, or 40 cents each.

InvoiceSherpa upgrades the plan automatically when you pass a limit and prorates the charge. The Yearly view is $41, $83 and $166 a month, each billed as one yearly payment with no total printed, so treat a yearly payment as a year's commitment. InvoiceSherpa pricing covers the bands in full.

The 1% transaction fee on what you collect

InvoiceSherpa's transaction fee is 1% on all invoices paid, added to the next billing cycle with the subscription. On $5,000 collected through InvoiceSherpa in a month it is $50, on $10,000 it is $100 and on $25,000 it is $250 (our arithmetic). It is waived for payments processed through Propelr when the account is opened through InvoiceSherpa's integrations page, and payment processors charge their own fees on top.

So with up to 100 open invoices and $10,000 collected, the month costs $149 on the Monthly view: the $49 plan plus the $100 fee.

Hours of chasing a plan has to save

To test whether a plan covers its cost, divide it by your hourly cost of chasing. At an assumed $40 an hour, the $49 plan must save 1.2 hours a month, the $99 plan 2.5 hours and the $199 plan 5.0 hours; the $149 month above needs 3.7 hours. At $25 an hour the $49 plan needs 2.0 hours, and at $60 an hour 0.8 hours.

These are illustrations, not forecasts: replace the assumed hourly costs with your own.

What the built-in reminders, Chaser and Upflow cost instead

QuickBooks Online and Xero do not bill their reminders separately; their plans start at $38 a month (Simple Start) and $27 a month (Xero Early), each billed monthly at its regular price. Chaser Compact is from $259 a month, billed monthly, on its United States view for revenue under 5 million USD. Upflow shows no plan price; plans follow yearly gross invoice value and are by quote.

Pick InvoiceSherpa when your open invoices sit inside one band and you want texts, autopay and late fees. Pick Paidnice when new invoices a month stay inside its band while many sit open, or QuickBooks Online or Xero reminders when email is enough.
