Best invoice reminder software for small business, by plan price
For a small business, the best invoice reminder software is the reminder feature already inside QuickBooks Online or Xero. InvoiceSherpa, Paidnice and Chaser add texts and payment tools, each on its own meter, so a price in one row is not a ranking against another.
| Pick | Plan price and billing basis | Texts and autopay |
|---|---|---|
| QuickBooks Online built-in reminders | Simple Start, $38 a month, billed monthly | Email reminders; automatic late fees |
| Xero built-in reminders | Early, $27 a month, billed monthly; 20 invoices | Email reminders; invoice link by text |
| InvoiceSherpa Sole Proprietor | $49 a month on the Monthly view; up to 100 open invoices | SMS reminders, autopay and installment plans |
| Paidnice Essentials | $69 a month, billed monthly; 150 new invoices a month | Texts at $0.10 each; late fees and interest |
| Chaser Compact | From $259 a month, billed monthly; revenue under 5 million USD | SMS listed, 100 credits a month |
An InvoiceSherpa open invoice is an unpaid invoice synced from your accounting software in open or draft status, and its price row excludes a 1% transaction fee on all invoices paid. InvoiceSherpa's three plan bands are listed on its pricing page, which the Try InvoiceSherpa button on this page opens.

Try InvoiceSherpa →When the reminders inside QuickBooks Online or Xero are enough
QuickBooks Online sends up to three automatic email reminders, scheduled from 90 days before to 90 days after the due date, for invoices you have already emailed. Xero allows up to five reminders in an organization, starts with three defaults for overdue invoices and stops them once a payment is matched. Neither is billed separately, so switch them on first.
A firm whose customers mostly pay after one nudge turns on all three QuickBooks Online reminders first, and needs a dedicated tool only if customers still pay late or should be texted.
InvoiceSherpa: texts, autopay and late fees for recurring invoices
InvoiceSherpa lists SMS payment reminders, autopay, installment plans and late fees on all three plans, and it connects to QuickBooks Online, Xero and Clio. Sole Proprietor, up to 100 open invoices, is $49 a month on the Monthly view or $41 a month on the Yearly view, billed as one yearly payment.
Autopay needs a stored payment method, and recurring invoices are flagged by a note typed in QuickBooks or Xero. The pricing page offers a 14-day free trial with no credit card; a plan and card details are needed when it ends. Pick InvoiceSherpa for recurring invoices that need texts, autopay and late fees; the InvoiceSherpa review lists its limits.
Paidnice and Chaser: other meters for small teams
Paidnice bills by new invoices a month, quotes included. Essentials is $69 a month, billed monthly, for up to 150 invoices and 600 emails a month and 2 team members; texts cost $0.10 each, and late fees and interest are listed. Its first 20 actions, such as an email or a text, are free with no card. Pick Paidnice when new invoices a month stay inside its band while many sit open.
Chaser bills by annual revenue. Compact is from $259 a month, billed monthly, for revenue under 5 million USD on its United States view, with 4 users and SMS listed at 100 credits a month. Finance-team platforms are in best accounts receivable automation software.
A five-touch cadence, and which tools hold it
Our suggested cadence has five touches: before the due date, on the due day, and 7, 14 and 30 days late. Xero holds up to five reminders. QuickBooks Online holds three automatic reminders, so the other touches are manual sends.
InvoiceSherpa's preloaded workflow runs from 7 days before the due date to 14 days past due, with unlimited reminders on every plan, so a 30-day step is one you add. The wording for each touch is in how to automate invoice reminders.
