InvoiceSherpa vs QuickBooks: the main difference
QuickBooks Online reminders are a setting inside your accounting software. InvoiceSherpa is a separate service that connects to QuickBooks Online or Xero and takes over the follow-up. The question is not which is better in general. It is whether one cadence of email reminders for every customer gets your invoices paid, or whether you need more control than that.
Both vendors' pages were read on October 31, 2026. The QuickBooks help article carries an update date of October 5, 2026, and amounts are left to the live pages.
Side by side: what each vendor's pages state
- Timing: QuickBooks lets you turn on up to three automatic reminders, each set to go out up to 90 days before or after the due date. InvoiceSherpa lists custom scheduled reminders for new invoices, upcoming due dates, past-due invoices and payment thank-yous, with unlimited automated workflows.
- Channel: the QuickBooks article describes email reminders. InvoiceSherpa lists email and SMS.
- Rules by customer: the QuickBooks article describes one set of reminder rules and templates for all invoices. InvoiceSherpa describes client-specific terms and schedules, and customer groups.
- Paying: the QuickBooks article says customers with several unpaid invoices can select and pay them together in a checkout portal, and it points to QuickBooks Payments for processing. InvoiceSherpa lists a branded portal, card and ACH payments, autopay and installment plans.
- Late fees: QuickBooks has a separate help article on automatic late fees. InvoiceSherpa lists automatic late fees on its pricing page.
- Workflows: the QuickBooks article says QuickBooks Online Advanced users can build invoice reminders with workflows.
- Cost: QuickBooks reminders sit inside the QuickBooks plan you already pay for. InvoiceSherpa adds a plan sized by open invoices and a transaction fee on all invoices paid. The pricing guide explains both.
Where QuickBooks reminders stop, according to its own article
The help article says QuickBooks sends a reminder only for invoices you have already emailed, uses the reminder templates you set as the standard for all reminders, and applies later changes to future reminders only. It describes email reminders and rules that apply to every invoice. For many small businesses that is enough, especially when customers pay within a week of the first nudge.
The gaps matter when one slow-paying customer needs a firmer schedule than everyone else, when you want a text message, or when you want a pay link and a customer portal in every message. Those are the jobs a dedicated tool lists.
Which to choose
- Choose QuickBooks reminders if you send few invoices, most customers pay soon after the first reminder, and one cadence for everyone is fine.
- Choose InvoiceSherpa if you invoice from QuickBooks Online or Xero, want text reminders and different cadences by customer, and want payment and autopay in the same system.
- QuickBooks Desktop is a separate product with its own reminder article. The InvoiceSherpa integrations page lists QuickBooks Online, not Desktop, so confirm a route before you start.
- If you need credit checks, dispute handling or an ERP link, skip both and read the roundup of seven alternatives.
Questions to ask before you add a second tool
- How many of my invoices are still unpaid 30 days after the due date with QuickBooks reminders on?
- Do drafts count toward the plan limit, and how many drafts does my file hold?
- Which payment processor do I use, and is it on the integrations list?
- Who will own the tool, and who answers customers who reply to a reminder?
Next step
Set up the free reminders first with the cadence and wording plan, measure for a month, and then decide. The InvoiceSherpa review lists strengths and limits in full.
