InvoiceSherpa pricing: how plans, open invoices and fees work

How InvoiceSherpa plans are sized by open invoices, what the trial and transaction fee cover and how to test the cost against your own late invoices.

Last materially reviewed 2026-10-31

Quick answerInvoiceSherpa sells three plans sized by how many open invoices you carry, billed monthly or yearly with no annual contract, plus a transaction fee on all invoices paid. The amounts stay on the vendor's live pricing page. Compare the plan fee with the hours you spend chasing and the cost of invoices paid late.
InvoiceSherpa is likely to fit when

✓ US service businesses that invoice from QuickBooks Online or Xero and send recurring invoices

✓ Owners who want text reminders, different schedules for slow payers and a payment portal

✓ Bookkeepers and fractional finance leads who chase invoices for several clients

✓ Teams whose open invoice count fits a plan band and whose customers pay by card or ACH

Important limitations

— Businesses with only a few invoices open at any time that are mostly paid on time

— Anyone still to switch on the reminders inside QuickBooks or Xero

— QuickBooks Desktop users, since only the Online edition is on the vendor integrations list

— Finance teams that need credit checks, dispute workflows or an ERP link

InvoiceSherpa pricing: three plans sized by open invoices

The pricing page lists three plans: Sole Proprietor for up to 100 open invoices, Small Business for 101 to 500, and Enterprise for unlimited open invoices. A toggle switches the page between monthly and yearly billing, and the two views show different amounts. This guide leaves the amounts to the live page, because plan amounts change and what you see depends on the toggle. Read it with the toggle on monthly and then on yearly, from a US browser.

The page says plans are month-to-month with no annual contract, and the FAQs say yearly plans are billed as one payment at a discounted rate. The page labels its amounts as US prices, read here on October 31, 2026.

What counts as an open invoice

The pricing page defines an open invoice as any unpaid invoice synced from your accounting platform that is in open or draft status. Plan size follows that count, not the number of customers, users or reminders. The page lists unlimited customers, unlimited users and unlimited reminders on the plans.

If you go over your limit, the FAQs say the account moves to the next level, with a prorated charge for the days on the new plan and a prorated refund for the days left on the old one. The FAQs also say the system sets up the appropriate plan once your accounting platform is synced, so check which plan it chose before the trial ends.

What the all-plans list names

  • Reminders: unlimited payment reminders, customizable email templates, sending from your company domain and SMS payment reminders.
  • Customer side: a branded self-service portal, multiple payment methods, integrated payment links and installment plans.
  • Collections: late fees, autopay and unlimited automated workflows.
  • Account: unlimited user accounts, unlimited customers and multi-currency support.
  • Support: email and chat support. The same list also names a dedicated account manager and assisted onboarding, and the page text does not show which plan each belongs to, so confirm both before you count on them.

The trial and the transaction fee

The public pricing page and the FAQs state a 14-day free trial of the full platform with no credit card required, and a card is needed at the end of the trial. Read the trial length on the sign-up page you land on, because that is the one that applies to you.

The pricing page and FAQs also state a transaction fee on all invoices paid. The FAQs say the fee is added to your invoice for the next billing cycle along with the subscription. The pricing page says the fee is waived for payments processed through Propelr when the account is opened from InvoiceSherpa's integrations page. Ask your payment processor for its own rates and add them to the fee when you work out what taking payments through the tool costs.

A break-even test with your own numbers

  • Time: count the hours a month that you or your bookkeeper spend writing reminders, checking payment status and phoning. Multiply by the hourly cost of that person.
  • Cash: take your average invoice, multiply by the number paid late each month, and ask what a week earlier is worth to you, as interest saved on a credit line or as work you can start sooner.
  • Compare: set both against the plan fee and the transaction fee from the live page. If a month of the plan costs less than either figure, a trial is worth running.
  • Free first: QuickBooks Online and Xero both send reminders on their own. Run those for a month and measure what is still late. InvoiceSherpa vs QuickBooks lists the gaps.

Who should skip a paid plan

A business with only a handful of invoices open at any time, paid on time by most customers, may not recover a monthly fee. The built-in reminders are the free baseline for that business. A business that needs credit checks, dispute handling or an ERP link is better served by the tools in the roundup. See the full review for the features behind each plan.
