InvoiceSherpa and QuickBooks Online: what syncs both ways

InvoiceSherpa connects to QuickBooks Online: it syncs your unpaid invoices and customers in, and posts each payment back to the invoice in QuickBooks. All three plans list QuickBooks Online.

Sole Proprietor, the entry plan, costs $49 a month on the Monthly view or $41 a month on the Yearly view, billed as one yearly payment, for up to 100 open invoices (unpaid, in open or draft status), plus a 1% transaction fee on all invoices paid (as read on October 31, 2026).

QuickBooks Online only: Desktop and other versions

QuickBooks Desktop is not on InvoiceSherpa's integrations list, which names three accounting platforms: QuickBooks Online, Xero and Clio. QuickBooks Desktop has its own reminders, and you review and approve them before they go out.

Invoiced (by Flywire) names QuickBooks Desktop sync on its home page, though it describes itself as built for upper-mid-market and enterprise B2B finance teams and shows a demo button, not a price.

Recurring invoices, autopay and payment plans with QuickBooks Online

Autopay charges a customer's stored card or bank account under a rule, and a stored method alone does not enroll anyone. For recurring invoices from QuickBooks, InvoiceSherpa's help says to include the word "recurring" in the message on invoice field.

A payment plan splits one invoice into parts and needs the customer on autopay first. InvoiceSherpa's help says a customer's portal view of open payment plans is exclusive to QuickBooks Online customers, and installment plans are included on all three plans.

The customer portal is a branded page where a customer creates a password, logs in, views open invoices and credit memos and pays. A pay link in a reminder is separate, and InvoiceSherpa's industry pages say it needs no login. The portal settings help marks the standalone or embedded portal option as not available to QuickBooks Online customers.

Switch QuickBooks Online's own tools on first. Its help article describes up to three automatic email reminders, scheduled up to 90 days before or after the due date and sent only for invoices you have already emailed. QuickBooks Online also adds automatic late fees from the day after you turn the setting on, and a checkout portal where a customer with several unpaid invoices can pay them all at once.
